Review the meeting location and passenger-contact procedure for airports, hotels, Port Canaveral and Orlando theme parks before your scheduled pickup.

Know the meeting point before the vehicle arrives.

These instructions are also included at the bottom of the reservation confirmation and are scheduled to be sent by text approximately 48 hours and one hour before pickup.

The traveling passenger's mobile number is required.

Make sure the reservation contains the lead passenger's correct cell phone number, not a home, office or non-traveling contact. Keep that phone on and monitor calls and text messages during the pickup.

Before every scheduled pickup

  • Review the pickup location, time, flight or cruise information and meeting instructions on the confirmation.
  • Verify that the lead passenger's correct mobile number is listed.
  • Turn the phone on as soon as permitted and monitor calls and text messages.
  • If the meeting point is unclear, remain at the instructed location and contact Florida Magical Tours before moving elsewhere.

Airport meet and greet instructions

MCO and SFB · Domestic flights

Baggage-claim meeting

Turn on the lead passenger's phone as soon as the airline permits. The chauffeur will not proceed to baggage claim until contact can be established.

The chauffeur will meet the party at baggage claim holding a sign with the passenger's name approximately 35 minutes after the flight's gate-arrival time. Florida Magical Tours monitors the flight number shown on the confirmation.

JetBlue: The current meeting time is approximately one hour after gate arrival because of ongoing baggage-handling delays. Please remain inside the terminal.

MCO · International flights

Approximately 45 minutes after landing

The chauffeur will meet the party at baggage claim approximately 45 minutes after landing, allowing estimated time for Customs, and will hold a sign with the passenger's name.

If the party reaches baggage claim earlier, contact the office. The chauffeur can be dispatched to the meeting location, and arrival may take approximately 5-10 minutes.

SFB · International flights

Approximately 90 minutes after landing

The chauffeur will meet the party approximately 90 minutes after landing, allowing estimated time for Customs. The current meeting location is outside the Welcome Center building.

Hyatt Regency MCO

Motorcoach and valet-parking level

Use the Hyatt hotel's elevator, not an airport elevator and select the motorcoach/valet-parking level. The vehicle will wait beside the valet stand at the confirmed pickup time.

Other Florida airports

Curbside coordination

Turn on the lead passenger's phone as soon as permitted. The chauffeur will contact the passenger with the appropriate curbside-pickup instructions for that airport.

Carry-on luggage, early bags and stroller retrieval

Traveling with carry-on luggage only? Call or use live chat as soon as the flight lands so an earlier pickup can be coordinated. If luggage arrives sooner than expected, contact the office after collecting it; chauffeur arrival may take approximately 5–10 minutes. A $35 fee applies when transportation from MCO Terminal C to Terminal A is required to retrieve a rental stroller. The fee covers up to 15 minutes of additional waiting time and applicable airport gate fees.

Hotel and resort pickup instructions

Be outside at the hotel's main-lobby valet area at the confirmed pickup time. The chauffeur will not enter the hotel or go to a guest room to locate passengers.

If luggage assistance is needed, contact the hotel's bell-services team at least one hour before pickup. During checkout and other busy periods, requesting bell service only 5–10 minutes beforehand may delay the pickup and could result in waiting fees.

Port Canaveral cruise-terminal instructions

Once Customs permits mobile-phone use, turn on the lead passenger's phone and monitor calls and text messages. The chauffeur will contact the passenger to confirm that the entire party is outside the terminal and ready for pickup.

Port Canaveral restricts commercial vehicles from waiting curbside. The vehicle will remain on standby outside the terminal area until every passenger is together at the designated pickup location.

Confirm the entire party—not only the lead passenger

Do not tell the chauffeur that the party is ready while passengers are still missing. Once everyone is outside together, the vehicle will proceed to the terminal. Arrival normally takes approximately 5–10 minutes after readiness is confirmed.

Orlando theme-park pickup instructions

If Florida Magical Tours dropped off the party earlier that day, return to the same commercial-vehicle location used for the morning drop-off.

For a one-way pickup where Florida Magical Tours did not provide the trip to the park, follow signs for Commercial Vehicle Pick-Up. Keep the lead passenger's phone on and make sure the reservation contains the correct mobile number.

To request an earlier or later return pickup, contact the office at least three hours before the scheduled pickup time. Changes remain subject to availability.

Waiting time and pickup changes

A 15-minute complimentary grace period applies to hotel, Port Canaveral and theme-park pickups. After the grace period, waiting fees begin in 30-minute increments, or 60-minute increments for out-of-town transfers where applicable.

Call as soon as a delay becomes apparent. Heavy traffic, weather, flight delays and schedule-change requests made within 72 hours may affect vehicle assignment or timing. An equal or larger vehicle may be assigned without an upgrade fee when operationally necessary.

Unable to locate the chauffeur

Remain at the instructed meeting area and call 407-501-6163 or use live chat for immediate assistance.

Do not move to another terminal, level, baggage claim, curb or pickup zone unless directed. Commercial vehicles must follow the approved access procedure for each location.
