This policy explains how Florida Magical Tours collects, uses, shares, protects and retains information connected to our website, reservation process, communications and transportation services.

This Privacy Policy applies when you visit flmagicaltours.com, submit a reservation or other form, communicate by phone, email, live chat or text message, or use our transportation services.

Reservations may be arranged by someone else.

A travel advisor, family member, employer or other authorized person may provide information for a passenger. The person submitting the information is responsible for having authority to provide it and for sharing this policy with the passenger when appropriate.

Who is responsible for this policy

Florida Magical Tours and Transportation determines how personal information covered by this policy is used for its reservation, transportation, customer-service and business operations. Questions may be directed to info@flmagicaltours.com or 407-501-6163.

Information provided for a reservation or service

Depending on the request, we may collect:

  • Names, email addresses, telephone numbers, billing addresses and the contact information of passengers, customers or travel professionals.
  • Pickup and destination locations, dates, times, airline and flight details, cruise information, accommodation details and other itinerary information.
  • Passenger, luggage, stroller, child-seat, mobility-item, service-animal and other service-planning details.
  • Vehicle requests, stops, special instructions, reservation history, promo codes, communications, feedback, complaints and service records.
  • Payment and billing information needed to authorize or process charges.

Please provide only information reasonably necessary for the reservation or request. Do not send complete payment-card information by ordinary email or live chat.

Information received from other sources

Information may come directly from a passenger or from a travel advisor, family member, employer, group organizer or other person arranging service. We may also receive operational information from chauffeurs, independent transportation providers, reservation and payment platforms, communications providers, airports, airlines, cruise lines and publicly available travel-status sources when needed to provide or document service.

Website, device and cookie information

When you use the website, the site and its providers may automatically receive technical information such as IP address, browser and device type, referring page, pages viewed, approximate location derived from IP address, timestamps, cookie identifiers and security or error data.

Cookies and similar technologies may support essential website functions, preferences, security, live chat, performance measurement and analytics. Browser controls may allow you to block or delete cookies, although some website features may not function correctly afterward.

We may use personal information to review and confirm reservations; coordinate chauffeurs, vehicles, flights and pickup procedures; communicate service updates; process or reconcile payments, refunds and commissions; respond to questions or complaints; provide child seats or requested accommodations; maintain business and tax records; prevent fraud or misuse; improve service and staff training; investigate incidents; enforce applicable policies; and comply with legal, insurance and regulatory obligations.

When information may be shared

Information may be disclosed only as reasonably needed for the purposes described in this policy, including to:

  • Chauffeurs, dispatchers, contractors and qualified transportation providers involved in the requested service.
  • The travel advisor, agency, employer, group organizer or other authorized person connected to the reservation.
  • Website hosting, reservation, payment, email, SMS, telephone, live-chat, analytics, security, accounting, insurance and professional-service providers performing work on our behalf.
  • Airports, ports, hotels, venues, authorities, insurers, attorneys or investigators when reasonably necessary for access, safety, a claim, legal compliance or protection of rights.
  • A successor or advisor involved in a legitimate merger, financing, reorganization, sale or transfer of all or part of the business, subject to appropriate confidentiality and legal requirements.

No sale of personal information

Florida Magical Tours does not sell personal information for money. We do not sell or share SMS opt-in consent or mobile telephone information with third parties or affiliates for their own marketing or promotional purposes. Information may still be provided to service providers that help us operate the website, deliver requested communications or perform the transportation service.

Payment information

Payment information submitted through an approved reservation or payment form may be transmitted to and maintained by the authorized reservation or payment provider. Florida Magical Tours may receive transaction status, payment tokens, card type, expiration information or limited card identifiers needed to administer the reservation. Payment data is also subject to the privacy and security practices of the provider processing it.

Safer payment updates

Use the secure Credit Card Form when asked to update a payment method. Do not send a full card number or security code through ordinary email or live chat.

Retention, security and individual choices

How long information is retained

Information is retained for as long as reasonably necessary to provide and document service, maintain reservation and financial records, administer refunds or commissions, resolve disputes, support insurance or legal matters, prevent fraud and satisfy tax, accounting, regulatory or other legal requirements. Retention periods vary by record type and the reason the information is held. Information may be deleted, anonymized or securely disposed of when it is no longer reasonably required.

Data protection

Florida Magical Tours uses reasonable administrative, technical and physical measures appropriate to the information and the operation. Access should be limited to people and providers with a legitimate business need. However, no website, transmission method, storage system or security measure can be guaranteed completely secure.

Access, correction and deletion requests

Depending on applicable law and the circumstances, you may ask to access, correct or delete personal information associated with you. Submit a request to info@flmagicaltours.com and identify the reservation or relationship involved.

We may need to verify identity and authority before acting. A request may be limited or declined when information must be retained for an active reservation, transaction, tax or accounting record, fraud prevention, safety, insurance, legal claim, regulatory duty, the rights of another person or another lawful purpose. We will respond as required by applicable law.

Children's information

The website and reservation services are intended for adults arranging transportation. We do not knowingly collect personal information directly from children under 13 through the website. A parent, guardian or authorized adult may provide a child's name, age range, child-seat request or other limited information needed to plan transportation. Contact us if you believe a child submitted information directly without appropriate authorization.

Third-party websites and services

The website may link to services operated by other companies. Their collection and use of information are governed by their own policies, not this one. Review the privacy notice presented by a reservation, payment, chat, social-media or other external service before providing information directly to it.

Text messages and onboard cameras

Transactional SMS consent and use

When you provide a mobile number and expressly opt in where requested, Florida Magical Tours may send transactional text messages related to a reservation or requested service. Messages may include booking confirmations, missing-information requests, payment or schedule notices, pickup instructions, chauffeur communication and service updates. Consent to receive text messages is not a condition of purchasing transportation.

SMS consent and mobile information are used for reservation-related communication and are not sold or shared with third parties or affiliates for their own marketing. Messaging providers may process the information only as needed to deliver and support the messages.

SMS frequency, opt-out, help and delivery

Message frequency varies with reservation activity. Message and data rates may apply under the recipient's wireless plan. Reply STOP to opt out; a final confirmation may be sent. Reply HELP for assistance or contact the team through the website. After opting out, reservation communication may continue by another available method.

Wireless carriers and networks control message delivery. Florida Magical Tours is not responsible for delays, blocking, failed delivery or transmission errors outside its reasonable control.

Onboard video and audio systems

Certain vehicles may be equipped with onboard cameras capable of recording exterior or interior video. Recordings may be used for passenger and driver safety, incident investigation, service-quality review, training, insurance, fraud prevention, vehicle security and legal or regulatory purposes.

Some camera systems may be capable of recording audio. Audio recording will be enabled or used only when permitted by applicable law and after any notice or consent required by law has been provided. Access to recordings is restricted to authorized persons and providers with a legitimate need. Recordings may be disclosed to insurers, attorneys, authorities or other parties when reasonably necessary or legally required and are retained only as long as reasonably necessary for the applicable purpose.

Changes to this policy

Florida Magical Tours may update this policy prospectively as services, systems, providers or legal requirements change. The effective date at the top identifies the current version. Material changes will be communicated when required by applicable law or when another form of notice is reasonably appropriate.
